Your personal information & privacy
If you are hungry and just want to check out our tasty nibbles, you can browse our websites until you’re full without giving BEAR any personal information. By websites we mean www.bearnibbles.co.uk, www.bigbookclub.bearnibbles.co.uk, www.bearcards.co.uk. If you want to do a few other things (such as sign up for a newsletter) then you will need to provide some personal information.
In the same way we don’t mess around with our ingredients, we won’t mess around with your personal information. For us, it goes without saying that your personal information is treated confidentially, taking into account all relevant provisions of the applicable privacy legislation, such as but not limited to the General Data Protection Regulation “GDPR”.
Warning: It gets a bit more grizzly (legal) from here, but we’ve tried to keep it as simple as possible while ensuring we are telling you everything you need to know about when, why and how we collect your personal data, as well as what we do with it, who we share it with (if at all), how we protect it and the choices you can make about your personal data.
This Policy applies to the processing of your personal data in the context of different applications (email, data capture websites, email marketing services, fulfilment houses etc) provided or operated by us or on our behalf.
Who is responsible for the processing of your personal data at the BEAR Cave?

How will we process your personal data?
Depending on why you give us your personal information, you can find below an overview of the personal data which will be processed, the legal ground(s) and purpose(s) of the processing, if they will be transferred, and the applicable retention periods.
Consumer queries, comments and complaints
You can give BEAR a growl for any reason via our email@example.com email address. Your message is processed through a customer service solution called Desk.com which is owned by Salesforce. The following data is collected, stored and processed:
- E-mail address
- Snail mail address (if supplied)
- Name (any first and last names as supplied)
- Phone number (if supplied)
- Message text
- IP address
BEAR will only keep your personal data for processing your enquiry. We’ll only hang on to it long enough to reply and/or to investigate your request or concern and it will be deleted within one month afterwards. In exceptional circumstances, and only for complaints, the data may be archived for up to 5 years. We may pass this data on to another affiliate or subsidiary of us for the purpose of further investigation of your concern or complaint. You can find our affiliates on our corporate website: www.lotusbakeries.com. For transfers to our affiliates we provide appropriate safeguards. This processing is based on our legitimate interest to improve our services.
You can subscribe to BEAR’s newsletter and get lots of exciting and fun facts and grrreat competitions delivered straight to your inbox. You can do this by giving us your free and explicit consent to the processing of your data (first name and e-mail address). You must be 16 years or older to give us this consent and your information, so you might be a parent, guardian or carer signing up on behalf of your cub. We use an email marketing service you might have heard of, MailChimp® (owned by Rocket Science Group), to send our newsletters. The data you share with us in order to sign-up to and receive BEAR’s newsletters is held with MailChimp®.
You can update your preferences or unsubscribe from our newsletters at any time by clicking on the links at the bottom of each newsletter. We will delete your data within 2 weeks from the moment you unsubscribe.
Data collection – BEAR Yoyos cards campaign and Reward
You can choose to collect 10 bearcodes and send these to The Big Cave for your Reward. In that case you need to provide your name and postal address. You must be 16 years or older to provide us with this information. Please ask a grrrrown-up to help you with this. We will only use the personal information you share with us in order to hand address the envelope which contains your Reward. We only keep this personal information for as long as we need to address your Reward and do not keep your information on a database or equivalent. We then shred and recycle your personal information. This processing is based on our legimitate interest to send you your Reward.
If you live in the Republic of Ireland we will share your name and postal address with our partner in Ireland, Brandshapers Ltd, who will use and then destroy this personal information in the same way as explained above.
You can leave a review about our products on our website. You need to give your explicit consent before you can submit this review. We rely on the services from Bazaarvoice Inc. to collect and process these reviews. Your name, nickname, e-mail address and of course the content of your review will be processed by them. This information will be stored on their platform hosted in Dublin (Ireland) indefinitely, or until you redraw your consent, whichever comes first. You can withdraw your consent by filing a request for deletion, by emailing firstname.lastname@example.org including your name, nickname, and e-mail address used when you submitted your review. Your review might be published on other BEAR websites (global BEAR websites) and 3rd party retailer websites accepting content to display under your nickname. Your data will not be transferred to any other third party.
To apply for a job at the Cave you can send CV and other relevant information you want to share via email@example.com.
The requested personal information is used for the purposes of our recruitment process and based on our legitimate interest to recruit new people. Your data will be deleted after closure of the relevant recruitment process. If we want to add your personal data to our recruitment database, we will contact you to obtain your consent. In case your application results in a job with Urban Fresh Foods Ltd, your information will be stored as further specified in your employment contract. Your data can be transferred to an assessment centre when this is relevant. In that case we will obtain your consent prior to this and provide appropriate safeguards.
Commercial relationship management
Within the framework of our commercial activities it is possible that we receive or collect personal data from our business partners (suppliers, service providers, prospects, clients etc).
The processing of this data is exclusively for managing our business relationships and is therefore based on our legitimate interest. We will always take your privacy rights into account. Your data will be stored for 10 years after the end of our business relationship and will be subject to continuous monitoring.
Your data may be disclosed to another affiliate or subsidiary of us when this is useful in our B2B relationship. You can find our affiliates on our corporate website (www.lotusbakeries.com). For transfers to our affiliates we provide appropriate safeguards.
Protection of your personal data
We have a set of technical and organisational security measures in place to protect your personal data against unlawful or unauthorised access or use, as well as against accidental loss or damage to their integrity. These measures have been designed taking into account our IT infrastructure, the potential impact on your privacy and the costs involved and are in accordance with current industry standards and practice.
Your personal data will only be processed by a third party if that third party agrees to comply with those technical and organisational data security measures.

You have the following rights in relation to your personal data:
- You can always request information about your personal data collected, stored and processed by BEAR. To receive this kind of information you need to prove your identity (for example, by sending us a copy of your ID).
- If your personal data stored by BEAR is incorrect, you can of course apply for a correction.
- You have the right to request a restriction on the processing of your personal data (for example, while the accuracy of your personal data is being checked).
- You may require us to erase any data concerning you (except in some cases, for example when we have to save your data to prove a transaction or when required by law).
- In case the processing is based on your consent, you may revoke your consent to the storage and processing of your personal data.
- If you do not agree with the way BEAR is processing your personal data, you have the right to lodge a complaint with the UK Data Protection Authority, the Information Commissioner’s Office (ICO) https://ico.org.uk/
